Global Dealer Management System
Client: Volvo
Volvo's international dealer network was hamstrung by fragmented legacy systems that couldn't share inventory or order data across borders. IO Datalabs built a unified, cloud-native dealer portal on AWS that consolidated operations across 14 countries and cut order processing time by 30%.
The Challenge
Volvo's dealer management infrastructure had grown organically over 15 years, resulting in separate systems for North America, Europe, and Asia-Pacific. Each region ran different software stacks with incompatible data formats, making cross-border inventory visibility nearly impossible.
When a dealer in Germany needed a specific truck configuration, they had no way to check if a matching unit existed at a Norwegian dealer. This led to unnecessary factory orders, extended lead times, and millions in excess inventory carrying costs.
The IT team had attempted two prior consolidation projects, both abandoned due to scope creep and the complexity of migrating live dealer operations without downtime.
Our Approach
We designed a migration strategy that allowed dealers to onboard region-by-region without disrupting active sales operations.
System Mapping & API Design
Documented data schemas across all three regional systems. Designed a unified API layer that could normalize dealer, inventory, and order data regardless of source format.
Core Platform Build
Built the cloud-native portal on Kubernetes with PostgreSQL, implementing real-time inventory syncing via event streaming. Designed for multi-tenancy with region-specific configurations.
Pilot Region Rollout
Deployed to Scandinavian dealers first (lowest complexity). Ran parallel operations for 4 weeks, validated data accuracy, and iterated on UX based on dealer feedback.
Global Rollout & Training
Phased deployment across remaining regions with dedicated training sessions. Built admin dashboard for Volvo HQ to monitor dealer adoption and system health.
The Solution
The unified portal provides real-time inventory visibility across all 14 countries, allowing dealers to locate and transfer units across borders with a single search. Order processing flows through a standardized pipeline regardless of originating region.
The platform runs on Kubernetes for elastic scaling during peak ordering periods, with PostgreSQL handling the relational complexity of multi-region dealer hierarchies. Event streaming ensures inventory counts are synchronized within seconds of any change.
Tech Stack
Architecture
Multi-tenant Kubernetes deployment on AWS EKS, PostgreSQL with read replicas per region, event-driven inventory sync via Amazon EventBridge, and a Node.js API gateway with per-region configuration overlays.
Results
Standardized pipeline eliminated manual re-entry across regional systems
Kubernetes auto-scaling and multi-AZ deployment ensure continuous availability
From 3 incompatible regional systems to a single global platform
Cross-border visibility eliminated redundant factory orders
“The new system completely revolutionized our global dealer pipeline.”
